I’m trying the ever-expanding array of AI productivity solutions available on the market since I consider myself a tools geek. It’s these that I keep returning to.
Among my favorite sayings is “Work smarter, not harder.” It matters much more now that I’m a working mother of a toddler. Every day, I have a limited number of hours. I have to make the most of my spare time if I want any.
These AI productivity tools are here. It all matters. others of them save me hours of labor, others a few minutes, and some simply keep me sane. I reserve every second for that wonderful hour or two when I’ve finished my job, my kid is in bed, and I can curl up with (read: fall asleep with) a fantastic book.
Productivity tools aren’t new, of course, but they’ve become much more potent since artificial intelligence was included. Tasks are streamlined by these AI-powered technologies, giving you more time for creative work.
1. Buffer
Create, create, and reuse social media content with AI. For instance, you may swiftly come up with ideas using Buffer’s AI Assistant.
Regular posting is one of the finest strategies to expand on any social media site (the algorithms like it).
Unless you’re using Buffer’s AI Assistant, content production may quickly become too much to handle when you have a full-time job and side ventures.
Regardless of the platform, the AI technology may assist with ideation, creation, and repurposing social media postings. The assistant knows how to use social media. To put it another way, it has been taught to recognize the subtleties of each site without your prompting, such as the fact that postings on Instagram are often humorous, LinkedIn posts are a bit more formal, and X/Twitter posts are limited to a certain character count.
I often go to Buffer’s Create Space and click the “Generate Ideas” button to begin thinking when I’m at a loss for what to publish on LinkedIn to help me develop my personal brand.
The assistant asks inquiries to learn more about what will resonate. For instance:
- What do you do for a living?
- Who are you trying to reach?
It then produces a flow of ideas. You have the option to accept or reject each one.
It may assist you with content workshopping. A successful post, for instance, may be used from one platform to another. My favorite use case is that one. Pricing for Buffer: Up to three channels may be used for free with Buffer and the AI Assistant. The monthly cost of paid plans is $5 per channel.
2. ChatGPT
Remove administrative tasks from your to-do list by using AI. My tech toolkit is filled with several AI productivity tools. The most adaptable is ChatGPT from OpenAI. I think of ChatGPT as my AI virtual helper. Several times a week, I ask it to relieve me of time-consuming chores.
I use it to summarize lengthy or complex texts, write simple HTML to enhance my blog articles (like the helpful table of contents at the top of this list, for example), and identify target keywords for SEO. If the first result is incorrect, ChatGPT’s chatbot feature might be helpful. You continue to expand on your prompt. I ask it to condense an article into 10 bullet points, for instance. I add, “Explain the above like I’m a 10-year-old,” if it’s still unclear. The basic version of ChatGPT is free, while subscription options start at $20 per month.
3. Concept
Utilize AI to create papers and look for particular answers in all of your docs. I was thrilled when they enhanced the robust product with artificial intelligence (AI) since Notion has long been one of my favorite project management tools and is an integral element of our workflow on the Content team at Buffer as well as the corporate documentation system.
Concept AI is capable of autofilling databases and producing text. It has the ability to assign action items and generate page summaries. All of them are practical time-savers.
Asking targeted queries about your saved data is my favorite Notion AI function. For instance, at Buffer, we store corporate documents using Notion. My searches might be sluggish when I’m pressed for time.
I clicked the search icon rather than skimming through databases and articles. After that, I input my query and choose “Ask AI.” For instance, “Which Buffer teammates are based in the US?” or “How do I categorize internet costs in my monthly expense report?” A response and links to the relevant sites are produced by the AI.
Pricing for Notion: Individuals may use Notion for free (with a trial of Notion AI), but monthly subscriptions with Notion AI start at $20 per user.
4. Otter.ai
AI may be used to automatically summarize and transcribe meetings. Otter.ai has been a part of my journalistic career. I’ve saved a ton of time thanks to audio transcriptions. It now takes minutes rather than hours to review calls.
I transcribe meeting minutes, case studies, and interviews. I drag and drop the audio onto Otter’s online application after a meeting. I get a complete transcript and an AI synopsis of the conversation in a matter of minutes.
Why Otter.ai is my preference:
- Compatible with all platforms
- allows you to download individual audio clips.
- Clickable summaries are available for easy navigating.
You can click on a bullet point in the summary using another useful Otter.ai function. It transports you to that particular passage in the transcript. This makes it quite simple to catch up on important aspects. Pricing for Otter.ai: Free for up to 300 transcribing minutes each month. For 1,200 transcribing minutes, paid plans start at $8.33 per month.
5. AI Todoist Helper
Utilize AI to organize and divide up your work. One of my favorite tools for productivity is Todoist. I use it to handle my tasks. The AI Assistant from Todoist is easy to use and beneficial.
It may assist you in three ways:
- Give advice on how to finish a job.
- Make the assignment more doable.
- Divide the work into smaller tasks.
The GTD (Getting Things Done) approach is one that I really like. Todoist’s AI Assistant can assist me with “capturing” your tasks, which is a large brain dump, and then arranging them into action steps. Todoist does not come with the AI Assistant by default. It must be enabled under integrations. The choices shown above will then be visible to you.
Todoist pricing: Although Todoist offers a free plan, the AI Assistant is only accessible with their Pro plan and above, which costs $4 per user each month.
6. Take Back AI
Schedule your day and safeguard your attention using AI.
Reclaim AI assists you in recovering time from your hectic routine. It is an AI-powered calendar aide rather than a calendar itself. It synchronizes with the calendars on Google and Outlook. Reclaim assists you in scheduling flexible time according to your position and priorities. For instance, concentrated work periods, exercise sessions, or lunch breaks.
I schedule time for these activities using Reclaim. For my kid, I also establish a nightly ritual. My exercise, lunch, and concentrate time blocks change every day. Monday through Friday, my daughter’s bedtime is set and cannot be changed.

Any text may be read aloud using AI. Thanks to Speechify, Gwyneth Paltrow assisted me in editing this piece. An AI program called Speechify can read any text to you. It supports more than 30 languages and provides more than 130 voices, including those of celebrities. The voices seem genuine instead than artificial because of AI.
Speechify can help you absorb knowledge more quickly if, like me, you learn best by hearing. To increase productivity, you can read more quickly.
Speechify is excellent for:
- While on the run, listening to articles
- Creating audio files from PDFs
- Improving understanding of what is read
Having it read my articles out loud before they are published is my favorite use case. It’s an excellent method for authors to identify mistakes and enhance clarity. There are also some nice features. For instance, you can translate and dub films into different languages or make your own AI voice clone (I know).

8. Type
Create material in your own manner with AI. As its name suggests, Type leverages generative AI to help you write more and better. Type performs precisely what the name suggests. It quickly transforms your thoughts or suggestions into draft material. Type has a simple, user-friendly design. It comes with templates for onboarding emails, blog entries, and more. If you have trouble coming up with AI prompts, this might be useful.
“Didn’t you say ChatGPT and Notion can do that?” one may ask. Yes, but Type is unique. It can be taught to write just like you. You may submit or link to a style sample for each question. It will be replicated in your draft by the AI. The outcomes are not flawless. For a human touch, you will still need to make adjustments. It’s still superior to other AI writing aides I’ve used, however.
